For over 30 years, the Shakespeare on the Saskatchewan Festival has produced the works of Shakespeare on the banks of the South Saskatchewan River and attracted visitors from across the province, the country, and the world. We strive to create a warm, relaxing, and inviting atmosphere for our patrons so they can truly enjoy their theatrical experience.
Shakespeare on the Saskatchewan is seeking an administrative assistant to cover a term leave. Reporting directly to the Artistic Producer, the Administration Assist’s duties shall include but not be limited to the following:
General Administration
• Answer and direct phone calls
• Plan meetings and take detailed minutes as needed
• Maintain a filing system
• Process donations and ticket sales over the phone and from mailed donation forms
• Assist with grant writing as needed
• Order office supplies and research new deals and suppliers
• Maintain contact lists for artists and staff
• Book travel accommodation arrangements as necessary
• Assist in the execution of contracts
• Maintain all email contact lists through Mail Chimp, Constant Contact etc
• Support Fundraising and fund development efforts as needed
• Write and distribute festival newsletter
• Supporting the M&D department through the execution of social media campaigns as needed
• Coordinate auditions
• Maintain Artist Database
• Other duties as assigned
Seasonal Responsibilities
• Assist with the execution of Special Events and/or sponsorship/donor events as needed
• Represent the Festival in a courteous and professional manner to donors, patrons and sponsors
• Oversee Volunteer Coordination including recruitment and scheduling
• Spearhead the Treasure Trove Donor Draw
• Under the supervision of the Artistic Producer, coordinator the Community Series Lecture Series
• Work the occasionally box office or front of house shift on site
• Assist with the purchasing of Festival merchandise
• Other duties as assigned
Qualifications
• At least one-year experience in related field
• Knowledge of office management systems and procedures
• Working knowledge of office equipment, like printers and fax machines
• Proficiency in MS Office (MS Excel and MS PowerPoint, Outlook, in particular)
• Proficiency working in Google Drive and Calendar
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem-solving skills
• Excellent written and verbal communication skills
• Strong organizational skills with the ability to multi-task
• Love of the arts in general and theatre in particular
• Knowledge of operating structures of Non-Profit organizations considered an assist
• High School diploma
• Additional qualification as an Administrative assistant or Secretary will considered an asset
• Ability to work some evenings/weekends during the summer festival
• Preference may be given to current and returning post-secondary students due to funding requirements
Term of Employment
• Term position May 4 to September 11, 2020 with possibility to extend as late as the end of September, 2020.
• Salary shall be based on 40 hours per week.
• July/August will require evening and weekend shifts depending on needs of festival.
• Salary shall be competitive within the industry.
