Request for Information - Art Proposals

Town of White City, White City

The Town of White City is pleased to invite artists to contribute to a project that explores and celebrates the rich artistic, cultural, and historical landscape of our community. This initiative presents an opportunity for artists to engage with the present and future of White City, creating a work that fosters meaningful dialogue across diverse communities and reflects the shared experiences that define our town’s identity. Through this project, we aim to promote inclusivity, highlight the diversity of our community, and showcase the cultural narratives that make White City a unique and vibrant place to live.

Purpose
The purpose of this RFI is to gather information on best practices, methodologies, and potential costs associated with developing a corporate risk philosophy and framework. This information will be used to inform the scope and budget of a potential future project that could begin in 2025.

Project Objectives
The primary objectives of this project are to:
•To create an artwork that captures the essence of White City's cultural heritage and its evolving story.
•To foster a sense of connection and inclusivity by reflecting the diverse experiences and identities within the community.
•To engage the public in meaningful dialogue through an accessible and impactful artistic expression.
•To celebrate the collective history, creativity, and future aspirations of White City’s residents.
•To ensure the artwork serves as a lasting symbol of the town’s commitment to diversity and cultural enrichment.

Information Requested
Respondents are requested to provide the following information:
Company Information
•Name of the artist or company
•Contact information (email, phone number, address)
•Artist biography, including a brief overview of your connection to White City as well as any relevant artistic or cultural experience.
•A portfolio or sample works (up to six images or other media relevant to the type of art you create).

Approach and Methodology
Respondents should describe their proposed approach and creative process for the project. This section should include:
•How the artist plans to engage with the cultural and historical identity of White City.
•The methodology for the creation of the work, including any materials, techniques, or styles to be used.
•How the artwork will foster meaningful dialogue across communities and celebrate the diverse cultural narratives of White City.
•Any plans to involve local community members or engage with local history, culture, or traditions.

Project Plan
•Respondents must provide a detailed project plan that includes:
•Project description: A clear explanation of the proposed artwork and how it connects to the Town of White City’s unique story.
•Timeline: A projected timeline detailing the various phases of the project (e.g., design, creation, installation, public engagement) and completion within the project period.
•Budget: A projected budget that outlines the cost of materials, labor, and other necessary expenses. The total budget should align with the $5,000 compensation, which includes all fees and materials.

Cost Estimates
Respondents should submit a detailed cost estimate that:
•Breaks down the $5,000 compensation into specific categories (e.g., materials, labor, supplies, installation, etc.).
•Any additional costs should be explained clearly, but note that the Town will not reimburse any expenses beyond the initial estimate.
•Artists should factor in the potential need for insurance and other logistical expenses into the total cost.

Additional Information
Respondents are encouraged to provide any additional information that might support their proposal, including:
•Any notable awards, accomplishments, or recognition in the art community.
•Examples of similar projects or public art installations previously completed.
•Information on the artist’s studio space requirements, if applicable, and whether the Town’s studio space would be needed.

Submission Guidelines
All submissions must include the following:
•A letter of intent (maximum 1,200 words) or a video of intent (maximum 15 minutes) detailing the artist’s proposed work and approach.
•A projected budget and timeline for the completion of the project.
•An updated Artist CV and portfolio (up to six images or samples of previous work).
•A biography detailing the artist’s connection to White City and/or Treaty Four territory.
•Any other relevant documents or materials that demonstrate the artist’s qualifications and suitability for this project.
